Your CIUI Application Checklist: Documents, Deadlines and Tips

A complete application gets reviewed faster. Use this step-by-step checklist to prepare your documents, complete your profile and submit your CIUI application without last-minute stress.

Most delays in admissions have nothing to do with grades. They come from missing documents, unreadable scans or a profile left half finished. The good news is that all of these are easy to avoid. Use this checklist and your application can go straight to review.

Step 1: Create your account and complete your profile

Everything starts with your CIUI account. Once you are signed in, your dashboard shows how complete your profile is. You cannot submit an application until it reaches 100%, so do this first. You will need:

  • your contact details (phone, and WhatsApp if you use it);
  • your date of birth, nationality and current address;
  • your ID document type and number, plus a scan;
  • a recent passport-style photo;
  • your highest qualification, the institution and the year you obtained it;
  • an emergency contact.

Step 2: Gather your documents

The exact list depends on the level you apply for, and each program page shows what it requires. As a general guide:

  • Bachelor programs: your secondary school certificate (GCE A Level, Baccalauréat or equivalent), transcripts, ID, passport photo and birth certificate.
  • Master programs: your degree certificate, transcripts, ID, passport photo and an up-to-date CV.
  • Doctoral programs: your Master's certificate and transcripts, CV, a research proposal and recommendation letters.

Step 3: Scan properly. It matters more than you think

Reviewers need to read your documents easily. Before uploading, check that each file:

  1. is a PDF, JPG or PNG under 5 MB;
  2. shows the whole page, straight, with no fingers or shadows over the text;
  3. is sharp enough to read stamps, signatures and grades;
  4. has all the pages of a multi-page document together in one PDF.

A free scanning app on your phone usually gives better results than a plain photo.

Step 4: Choose your program, intake and study mode

From your dashboard, click New application, then choose the program, the intake (for example January) and whether you will study online or onsite. Your application is saved as a draft, so you can come back to it as often as you need before submitting.

Step 5: Upload, review, submit

Upload each required document to your application. The page lists anything still missing, and the Submit button only becomes active when everything mandatory is there. Read through one last time, then submit.

After you submit

Your application page shows a timeline of every status change: Submitted, then Under review, and finally the decision. If the admissions team needs something else, the status changes to Documents requested with a message explaining what to add. Upload it and send the application back for review.

Tip: do not wait until the deadline. Applications submitted early leave time to fix a missing document without stress.
